Getting paid out
The crypto your customers buy is credited to your account in Kvarn's ledger and stays there until it is paid out: sent, per asset, to an address you own. Payouts run under a policy Kvarn sets for your account, on a schedule you choose or when an owner presses Pay out now. Kvarn takes nothing from a payout — both fees were taken from the card payment, and a payout sends exactly what the ledger credited. The network fee of the transfer comes out of the amount sent.
Nothing on this page needs code. It is what an owner does in your portal (see Your portal) and what your servers can read afterwards with an API key.
Payout addresses
An owner declares, per asset, the address its payouts should go to — on the portal's Payout addresses page. Two rules apply to every address:
- It is yours. A wallet whose keys your company controls, or an account held in your company's own name at a provider you name. Never an address held for someone else.
- It is declared in your company's name. The person an address belongs to is not typed into the form: it is your company's legal profile — its registered name, number and address, recorded from your business verification once that is approved, or completed by Kvarn — which has to be on file before an address can be declared. On submitting, the owner confirms the address belongs to the company.
When the owner submits, the address is checked for the asset's network — mainnet addresses only, their checksum verified where the network has one — so most typos are refused before anyone reads it. Then two reviews run side by side: Kvarn reviews the declaration, and the address is registered with our custodian, who reviews it too. Either may finish first. The status cell answers the question that matters, whether a payout could go to the address yet:
| Status | Means |
|---|---|
| Awaiting review | Declared, not yet decided by Kvarn. An owner may withdraw it. |
| Approved | Kvarn has allow-listed the address for that asset. The pill then shows the custodian's side instead, below. |
| Rejected | Declined by Kvarn, with its note. Declare again once the reason is dealt with. |
| Retired | Withdrawn while pending, retired by an owner once approved, or replaced by a newer approval. |
| Revoked | Withdrawn by Kvarn after approval, with its reason. |
Once Kvarn has approved, the pill is the activation and Kvarn's approval is the line beneath it:
| Pill | Means |
|---|---|
| Active | Both reviews said yes, any activation delay has passed, and the address was last confirmed matching your declaration less than a day ago. Payouts may go here. |
| Activating | Kvarn has approved; the custodian's side is not complete yet, which can include an activation delay of its own. |
| Unavailable | Kvarn has to resolve something with the custodian. No payout goes here until it is Active again; Kvarn will contact you if it needs anything from you. |
One address per asset is active at a time; approving a new one replaces the previous approval. An owner may withdraw a pending declaration or retire an approved address at any time, and a new declaration for an asset waits until the one already awaiting review is withdrawn or decided. Approval is an allow-list entry, not a payout.
Careful
Crypto sent to an address you do not control cannot be recovered. Declare only your own wallet or your own account, and check the address twice before confirming: the portal checks its form and network, not its owner.
What Kvarn may ask you for
Crypto transfers between businesses carry information about who is sending and who is receiving — the Travel Rule. Kvarn composes that from your legal profile and sends it with the transfer; there is nothing for you to fill in per payout. Two things may be asked of you once, per address:
- Proof that you control a wallet. For an address that is your own wallet, a payout worth 1 000 EUR or more needs proof of ownership on file first — a small transfer from the wallet, or a message signed with its key. Kvarn records it on the address; smaller payouts go without it.
- The provider hosting your account. For an address that is an account at a provider, Kvarn verifies the provider before anything is sent there. Name the provider exactly when you declare the address.
The Pay out now preview says when one of these is still missing (the reasons are listed below).
Your policy and your schedule
Kvarn sets the policy for your account and shows it to you on the Payouts page as facts:
- whether payouts are on;
- the holding period — a payment's crypto becomes payable this many days after it was credited;
- per asset, what stays behind on your balance, the minimum a single payout may be, and the most it may take at once.
Once payouts are on, you choose when, unless Kvarn has fixed the schedule for your account:
| Schedule | Means |
|---|---|
| Daily | Every day at an hour you pick, in UTC. |
| Every N days | Every second, third… day at that hour. |
| Weekly | One weekday at that hour. |
| On demand | Only when an owner presses Pay out now. |
A scheduled run takes everything payable in every asset. Changing the schedule is a control change: it asks the owner to sign in again if their last sign-in is more than a few minutes old. The overview says when the next scheduled payout is.
What a payout takes
A payout is per asset and takes the whole payable balance of that asset: whole payments at a time, oldest first, never an amount you pick. For each asset, in this order:
- Payouts must be on for your account, and nothing may be on hold.
- No payout of the asset may already be on its way, and no transfer of it may have been refused without Kvarn acknowledging it yet.
- The asset must be one we pay out (see What is not here yet).
- The asset needs an Active payout address — for an account at a provider, one whose provider Kvarn has verified.
- Payments are taken oldest first — each one's crypto whole — while it was credited at least the holding period ago, the balance left behind stays at or above what Kvarn keeps back, and the total stays at or under the maximum. The walk stops at the first payment that does not fit.
- What was gathered must reach the minimum for a single payout.
- The payout is valued in EUR at the current rate, for the record — and for a wallet you control, a value of 1 000 EUR or more needs the proof of ownership above on file.
The Payouts page previews exactly this per asset, from your balance as it is now, and either shows what a payout would take or the reason nothing would go. Looking reserves nothing.
Pay out now
An owner presses Pay out ETH (or whichever asset) beside one asset, or Pay out all when more than one is payable, confirms, and signs in again if the last sign-in is not fresh. The confirmation names the assets that will go, and only those are requested — an asset that became payable while the dialog was open is left alone. The amount is not fixed by the dialog: each named asset pays out whatever is payable at the moment the request is booked, so a payment that became payable meanwhile goes with it. Members see the preview, and cannot pay out.
The reasons the preview can show, and what to do about each:
| Reason | What to do |
|---|---|
| Payouts are not enabled for this account yet | Ask Kvarn. |
| On hold: a refund landed after its payment was paid out | Kvarn will contact you. |
| On hold after a refused transfer, until Kvarn acknowledges it | The custodian refused a transfer of this asset. Kvarn looks into it and lifts the hold; nothing is needed from you unless Kvarn asks. |
| A payout is already on its way | Wait for it to complete; the list shows its progress. |
| This asset cannot be paid out yet | Nothing to do: the asset is not paid out at all for now (see below). |
| No active payout address for this asset | Declare one, or wait for the declared one to become Active. |
| The provider hosting this address has not been verified yet | Kvarn is verifying the provider you named. Ask if it is taking long. |
| A payout this large needs ownership of the address recorded first | Send Kvarn the proof described above; a smaller payout is not an option, since a payout always takes the whole payable balance. |
| Below the minimum for a single payout | Wait for more payments to become payable. If it is the maximum per payout that keeps stopping the walk short of the minimum, ask Kvarn to adjust the policy. |
| No current price to value the payout by | Temporary. Try again later. |
| Nothing to pay out yet, after the holding period and the balance kept behind | Nothing is payable right now. The holding period and what Kvarn keeps back are on the Payouts page. |
Following a payout
Every payout is on the Payouts list, newest first, and has a page of its own: the amount, the address it went to, what arrived and what the network took, the transaction hash once there is one, and the payments it settled. Its progress:
| Progress | Means |
|---|---|
| Pending | Booked, and not yet confirmed as sent. A payout that stays pending for long is one Kvarn is looking into. |
| Sent | Handed over for sending; on its way. |
| Completed | Arrived. The record shows what arrived, the fee and the hash. |
| Failed | Nothing was sent, and the payout's booking was reversed: the payments it took are held for you again, unless a refund took one meanwhile. If the transfer was refused, payouts of the asset are on hold until Kvarn has looked into it. |
Your servers can read the same list and records with an API key: GET /v1/payouts and GET /v1/payouts/{id} on the data API — and be told instead of polling: a payout that arrives posts payout.completed to your webhook, one that failed or was cancelled posts payout.failed, each carrying the payout's record (see Events on your server).
Settled payments
Because a payout takes whole payments, whether a payment's crypto has been paid out is a fact about that payment. Every payment shows its settlement: Unsettled while its crypto is still held for you, Settling once it is booked into a payout on its way, and Settled once that payout completed — with the payout and when it completed on the payment's page. The Payments list filters on it, and the CSV export carries it as a column.
A payment that bought nothing — one that failed, or whose crypto was reversed by a refund before any payout — shows no settlement: there is nothing of it to pay out. On the data API, settlement is on every payment, settlement=unsettled as a filter lists the payments whose crypto is still held for you, and payoutId=… lists the payments one payout carried.
What is not here yet
- Tokens are not paid out yet — only each network's own coin. A token balance stays on your account, and the preview says so.
- No partial payouts and no chosen amounts, by design: a payout takes whole payments and the whole payable balance, so what is settled is always clear per payment.
